A Big Step Forward: New Digital Archive & Tearsheets Process Saves Time for Everyone

One of the challenges our industry faces is balancing tradition with innovation. While print remains the foundation of what we do, digital tools can make our work more efficient, reduce administrative headaches, and ultimately give us more time to focus on what matters—serving our readers and advertisers.
That’s why I’m excited to share an important update: NPA/NPAS has entered into a new partnership with NewzGroup to create a free digital archive for our members while also streamlining the tearsheeting process for newspapers and OnePress staff.
This change is more than just an upgrade—it’s a major efficiency win for everyone involved.
What This Means for You
Starting soon, NPA members will no longer need to manually email or mail tearsheets to OnePress for proof of publication, unless specifically requested. Instead, newspapers will upload a PDF of each issue within 24 hours of publication to a centralized system. This means:
- Less work for you – No more tracking down tearsheets or sending PDFs manually.
- A free digital archive – Your newspaper will have an easy-to-access record of last year’s past editions at no cost.
- Faster service for advertisers – OnePress staff will no longer spend hours collecting tearsheets from 80+ different websites or waiting on emailed PDFs. What used to take hours can now take minutes!
On top of that, this partnership also opens up optional opportunities for e-editions. If your newspaper is looking for a way to provide a public-facing digital edition, NewzGroup offers solutions for paid e-editions programs, depending on what works best for you.
A Board-Approved Process for Efficiency
After reviewing the current, time-consuming process for collecting tearsheets during its January meeting, the NPA Board unanimously approved a resolution requiring members to upload a PDF of each newspaper issue within 24 hours of publication. There are multiple ways to do this:
- FTP Upload (for newspapers with automated workflows)
- Direct Upload to the NewzGroup Website
- Vendor-Assisted Uploads – We are working with printers across the state to explore automation options.
For newspapers using e-Type services as their e-Edition provider, there are no extra steps required—your PDFs will automatically be included in the system.
To ensure compliance and keep the process running smoothly, per the approved motion, newspapers that do not upload their PDFs could be assessed a fee to cover the additional work required to track down tearsheets manually.
Why This Matters
This shift isn’t just about cutting down on administrative work (though that’s a big benefit). It’s about modernizing our operations to better serve newspapers, advertisers, and the public.
For newspapers, it means less time spent on paperwork and more time focusing on journalism and local business support.
For OnePress, it means a faster and more reliable proof-of-publication process, helping us better serve advertisers and advocate for the power of newspaper media.
For the industry, it’s a step toward ensuring that newspaper advertising remains easy, effective, and efficient.
